What we collect

If you make an enquiry from this website or call us, we may collect the following information:

  • Demographic information such as postcode or date of birth
  • Information relevant to understanding your needs so we can provide you with a safe service

What we do with the information we gather

This information is processed for the following reasons: to arrange appointments, to ensure we offer you a suitable service and for internal clinical record keeping. If you make an enquiry via this website or phone, we hold these details for one month to allow us to process your enquiry and provide you with a suitable service.

If you intend to attend a consultation, we will share your information with the named clinician and your details become part of your clinical record and are kept until you leave our service.

We do delete your information a month after received if we have not heard from you or are not able to give you an appointment at this time.

Where we respond to a request for access to personal information, we will carry out a reasonable and proportionate search for the information requested. We may ask you for further information if this is needed to identify you or locate the information relevant to your request.

If at any time we become concerned about your or other’s safety, we may need to break confidentiality to keep people safe in line with our statutory and professional obligations.

Taylored Psychology stores clinical records on our practice management software and Microsoft 365 applications. We may use secure digital systems, including Microsoft 365 tools and Microsoft Copilot licensed to Taylored Psychology Ltd for business use, to support administration, record keeping, communication, governance and service improvement. Microsoft Copilot may be used to help with administrative tasks and to improve the clarity, accessibility and quality of written communication. It is not used for clinical decision-making, diagnosis, formulation, risk assessment, treatment planning or any other decision that has a legal or similarly significant effect on clients. Where technology is used to support clinical or administrative work, appropriate human oversight remains in place.

Once you enter our service, your individual practitioner is the data controller for your clinical record. You will receive a pretherapy agreement explaining our data protection policy.

However, once you have used these links to leave our site, you should note that Taylored Psychology does not have any control over other websites. Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy statement. Security

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, suitable physical, electronic and managerial procedures are in place to safeguard and secure the information collected, including from this website. We use trusted software (including Microsoft 365, WriteUpp and Xero) for clinical records, finances and accounting. Further information regarding our data security is available on request and in our pretherapy agreements issued before you attend a session.

Controlling your personal information

Taylored Psychology will not sell, distribute or release your personal information to third parties unless we have your permission, we are concerned for your safety or the safety of others including children or are required by law to do so.

Website search queries and results may be logged anonymously to help improve the website and search functionality. We do not seek to identify visitors from this information. If analytics, cookies or similar technologies are used, they will be used only where permitted by law and in line with the choices available to you through your browser or cookie settings.
